New Wave Academy of Martial Arts Rules and Procedures:

New Wave Taekwondo and New Wave Hapkido exist under the banner of New Wave Academy of Martial Arts, hereafter abbreviated to NWAC.

All existing and potential students, instructors and club officials are expected to read, understand and implement NWAC rules and procedures.

2. MEDICAL DISORDERS:

 Applicants who suffer from any medical disorder must get a letter from their doctor confirming that they are fit to practice Taekwondo & Hapkido.  This should be provided to your Instructor before you/ your child commences training with NWAC.  Failure to do so may invalidate insurance cover.

3. HEALTH RISKS IN THE PRACTICE OF TAEKWONDO & HAPKIDO

Taekwondo & Hapkido are martial arts that involve:

Cardiovascular activity. Static and non-static stretching exercises. Physical contact between participants. The use of weapons. The striking of training pads (and other materials) with the hand, foot and other parts of the body.

Some of the injuries that it is possible to sustain through the practice of Tae Kwon Do & Hap Ki Do are: muscle strains, cuts and bruises and joint strains.

Although unlikely, more severe injuries maybe sustained through the practice of Tae Kwon Do & Hap Ki Do.

4. PUBLICITY RELEASE

NWAC takes photographs, videos/DVD footage of students on a regular basis. This material is used to promote/advertise the Club in various media including: newspapers, newsletters, WebPages and other promotional material and products. 

When Parents/ Students complete and sign a Registration/ Membership form they Grant NWAC permission to use, reproduce, and distribute Photographs, videos/DVDs of themselves and/or their child(ren) in material that may be used for promotion or otherwise of NWAC.  It is clearly understood that no royalty, fee or other compensation shall become payable –now or in the future- by reason of such use.

5. NWAC STUDENT CODE OF CONDUCT

5.1       I will respect myself, fellow students and Instructors.

5.2       I will do my best to listen and learn from my Instructor, Assistant Instructors and fellow students.

5.3       I will give 100% effort in my lessons.

5.4       I will practice Taekwondo/Hapkido in my own time, as long as it is safe for me to do so, without risk of injury to myself and those around me.

5.5       I understand that Taekwondo/Hapkido is for self-defence and will not use it to take advantage of others.

6. INSTRUCTORS & ASSISTANT INSTRUCTORS

ALL NWAC INSTRUCTORS WILL:

6.1.      be a minimum of 1st Dan Black Belt

6.2.      be a minimum of 18 years of age.

6.3.      have completed the NWAC Assistant Instructors Course

6.4       have completed or be on the NWAC Instructors Course

6.5       have a First Aid qualification

6.6.      have undertaken CRB Enhanced Disclosure for working with children and vulnerable adults.

6.7. All NWAC Assistant Instructors will have a minimum grade of 05th Kup, will have completed or be on the NWAC Assistant Instructors course.

7. MEMBERSHIP

7.1. Membership of NWAC is entirely at the discretion of the Head Instructors. The Head Instructors reserve the right to refuse membership, revoke an existing membership, or refuse to renew an existing membership, without giving a reason.

7.2. All new students must complete the NWAC Health Screening form and or the NWAC Registration form/ Membership form, before commencing to train for the first time.

7.3. Membership with NWAC includes insurance for the practice of Martial Arts and is renewed annually.

7.4. (7.2 & 7.3) Do not apply to Local Authority schools and Private Centres, where NWAC Instructors are hired to deliver sessions.  The onus of responsibility is on the Local Authority School or Private Centre to make sure Students undergo Health Screening and are insured for the practice of Martial Arts.  Where the establishments insurance does not cover the practice of Martial Arts, an arrangement can be made through NWAC to provide insurance cover.

7.5. Upon acceptance as a member of NWAC, students/ parents will be advised via email or text message of the expiry date of their membership.  It is the responsibility of the student to ensure his/ her Membership is renewed a minimum of one week before the expiry date, this includes the payment of Membership renewal fee. Students can not participate in a sessions with an expired membership.

7.6. Parents of junior students (students under 18 years) and all adult students must advise their Instructor in writing: via email or text message, if they will be absent from class for any period longer than one month. 

7.7. Any student, absent from class, without written notification, for a period of one month or longer will be deemed to have resigned from NWAC.

7.8. Should a student, as describe in 7.7, wish to recommence training with NWAC, they must first ask permission of their Club Instructor. 

7.9.   Should a student, as described in 7.7, be allowed to recommence training with NWAC they will need to pay a ‘Non Communication Fine’, equivalent to the renewal fee for one year’s Annual Membership.

8. ETIQUETTE

ALL NWAC STUDENTS ARE EXPECTED TO:

8.1. Bow when entering and leaving the dojang.

8.2. Bow when a Club Instructor enters the dojang.

8.3. Bow before speaking to a Club Instructor/ Assistant Instructor or Senior Grade student.

8.4. Address their Club Instructor as either: Sir/ Miss or Instructor during a session, course, grading, competition, or other martial arts related event.

8.5. Students who arrive late to class must make sure to gain the attention of the Instructor/ Assistant Instructor taking the class and bow to them before joining class

9. BEHAVIOUR

9.1.  All students are expected to behaviour according to NWAC Student Code of Conduct, as outlined in section 5. 

9.2. NWAC students should not to use the skills that they are taught against any person, except for the defence of themselves, their family, or friends, in the instance of extreme danger or unprovoked attack, or in the support of law and order. Any student found to be bullying or harassing another student or members of the public faces immediate expulsion from the club.

9.3. Any problem arising within the club must be raised immediately with the Head Instructors. NWAC runs a Child protection Policy and Ethical Policy within its organisation. Personal matters must not be brought into the Training hall.

ALL NWAC STUDENTS ARE EXPECTED TO:

9.4. Adhere to all of the club rules as detailed within this document. Any student found to be in breach of the rules risks having their membership revoked or not renewed.

9.5. Behave in an appropriate way at all times, both in and out of the dojang. This means acting with respect and discipline, and not acting in a way that could bring the club into disrepute.

9.6. Show the proper respect to all Club Instructors, Assistant Instructors, Students and Guests. This includes during training sessions, courses, gradings, competitions and any other martial arts related event. 

10. PRESENTATION

ALL NWAC STUDENTS ARE EXPECTED TO:

10.1. Display a high level of personal hygiene during training sessions, courses, gradings, competitions or other NWAC related event.

10.2. Have at least one NWAC Club Uniform with all three NWAC badges displayed accordingly. This uniform can be used for normal training sessions but must be used for: Gradings, Competitions, Demonstrations and all other NWAC events unless informed otherwise.

10.3. Tie their grade belt correctly. If they do not know how to tie their grade belt correctly, they should learn how by visiting the member’s area of NWAC website: www.newwaveac.com where they will find a short video: ‘How to tie your belt.’

10.4. Be properly dressed before entering the dojang and not undress or get changed before leaving the dojang.

10.5. Keep their fingernails and toenails clean and short.

10.6. Remove all jewellery including watches, necklaces, rings and earrings. If they cannot be removed, then they must be securely taped over.

10.7. Wear a NWAC club T-shirt, in place of their Uniform top, at the discretion of the Instructor, during the summer months.

11. ATTENDANCE

ALL NWAC STUDENTS ARE EXPECTED TO:

11.1. Attend a minimum of two sessions a week and attend Training Camps, Mass Sparring Sessions, Competitions, Seminars and courses as appropriate.

11.2. Arrive at least 5 minutes before the start of a weekday session, and at the time stated for any other events such as a course or grading.

11.3. Desist from using electronic equipment such as phones, games etc. a minimum of 30 minutes before class.  This time is to be used to focus and concentrate on what the student wishes to achieve during the class.

11.4. Advise their Club Instructor, in advance, if they cannot make their regular session or other NWAC event.

11.5. Train strictly at NWAC clubs and are not allowed to attend classes at other clubs.   This is for Insurance purposes, to avoid the students becoming confused by different teaching methods and to maintain the standard of NWAC. 

11.6. Advise their Club Instructor of any Injury’s they have sustained prior to training or if there are feeling unwell, before commencing to train in class or taking part in NWAC event.

11.7. Advise their Club Instructor, immediately, of any Injury’s they sustain during training or whilst attending an NWAC event.

12. GRADING

12.1.  A grading is when a student tests for their next belt level.  NWAC holds four Gradings a year.   

12.2. The Club Instructors will determine when to put a student forward for a grading.  The Head Instructors have the final say as to which students are allowed to grade, and complete discretion over which grade a student is selected to attempt.

12.3. If a student is unable to attend a grading, for which they have been selected, then they will have to wait until the next scheduled grading assessment.

12.4. The decision of the grading panel is final.

IF NOT SELECTED FOR GRADING, ALL NWAC STUDENTS ARE EXPECTED TO:

12.5. Continue to attend training sessions and courses on a regular basis.

12.6. Offer support and encouragement to all of the students that have been selected.

13. SPARRING

ALL NWAC STUDENTS ARE EXPECTED TO:

13.1. wear their protective equipment, at all times, while sparring, unless told otherwise. If they they forget to bring their protective equipment with them to class, they will not be allowed to participate in sparring.

13.2. Demonstrate control and respect at all times during Sparring.

13.3. Listen to the Instructors commands at all times and ensure all contact is as instructed.  Students who show a lack of respect for their own safety, or that of their partner’s, will not be allowed to participate in sparring.

13.4. Never lose control of their emotions during sparing.

14. DISCIPLINE AND SANCTIONS

14.1. Every Club Instructor has the right to ask a disrespectful, disruptive or unruly student to leave the dojang or training area for the duration of that session without a refund. This includes students who are likely to cause injury to themselves, other students, or damage to property.

14.2. Only the Head Instructors have the authority to suspend or expel students.

14.3. The aim of all sanctions dispensed, in class, by NWAC Instructors is to help students attain the correct attitude and behaviour expected of them as a member of NWAC.  This is part of the processes of assisting students to achieve Self-Discipline. 

TIGER DISCIPLINE, STUDENTS 4 - 8 YEARS OF AGE:

14.4. Tigers will be advised when either behaviour or attitude is in error.  This will come in the form of an explanation or verbal warning.  Should inappropriate behaviour or poor attitude persist Tigers will be subject to one or more of the following sanctions.

A)  Depending on the nature of the infringement, they will be made to sit out of the class for a period of between 2 – 10 minutes

B)  Made to do a quantity of the following: Push ups or sit up or squat thrusts.

C) Made to sit out the entire class where attitude is extremely poor or infringement considered to be severe.

It is our policy to explain to Tigers the reason for any sanction they have received and to check their understanding by asking them to explain back, in their own words, why they have been sanctioned.  It is also our aim, wherever possible, to advise parents of any sanction received during class.

JUNIOR DISCIPLINE, STUDENTS 9 – 17 YEARS OF AGE:

14.5. Juniors will be advised when either behaviour or attitude are in error.  This will come in the form of an explanation or verbal warring.  Should inappropriate behaviour or poor attitude persist Juniors will be subject one or more the following sanctions.

A)  Depending on the nature of the infringement, they will be made to sit out of the class for a period of between 2 – 10 minutes

B) Made to do a quantity of the following either singularly or in combination: Sit ups, Push ups, Squat thrusts or other excises deemed within their capability.

C) Made to sit out the entire class where attitude is extremely poor or infringement considered to be severe.

It is our policy to explain to Juniors the reason for any sanction they have received, so as to ensure they are in no doubt of the type of attitude or behaviour expected of them as members of NWAC.  It is also our aim, wherever possible, to advise parents of any sanction received during class.

ADULT DISCIPLINE, STUDENTS 18 YEARS AND OVER:

14.6. Adults are expected to have achieved certain level of self-discipline.  The issue with adults can often be one of Attitude.  The purpose of sanctions, in the case of Adults, is to assist them to achieve, self-discipline where necessary, but more importantly to help them cultivate the correct Attitude in the context of making progress in Martial Arts.

14.7. As with Tigers and Juniors sanctions may vary according to the infringement. 

14.8. All students may have their belts taken away from them, by their Instructor, either as a punishment for an infringement or poor attitude towards their training.  The length of time that a student may lose their belt can vary.  In most cases, they will determine when their belt is returned to them, either by correcting the behaviour for which the belt was taken away or by addressing they lack of effort for which the belt was taken away.

15. COMPETITION RULES

 15.1.   The judging criteria for all NWAC competitions are outlined on competition entry forms.

15.2.   At all NWAC competitions, the decision of the judges is final. 

16. PROCEDURE FOR MONTHLY FEES AND OTHER PAYMENTS

 16.1   All class fees are  due by 27th of the month prior to which fees are due. 

For example: Monthly fees for February, will be due by 27th January. 

16.2.   Monthly fee payment can ONLY be made by Bank Transfers or Standing Orders. Instructors, will not accept cash for monthly fee payment.

16.3    Bank transfer payments MUST be received no later than close of business on 27th of each month prior to which fees are due.

16.4.   NWAC operate ‘a no fee no train policy’.

16.5.   Payment must be made in full and is non-refundable. It is the responsibility of students to ensure they attend classes. NWAC will not refund money or owe students lessons as a result of missed classes.

16.6.   It is our strict policy not to allow students to train, if fees are not received as described in 16.1 and 16.3.  Where possible NWAC Instructors will attempt to reach an accommodation, when advised of problems with meeting fee payments.  However, instructors MUST be informed of any problems, by phone or email, a minimum of one full day before fees are due!

16.7.   Repetitive late payment of fees will result in students’ membership with NWAC being revoked.

16.8.   All other fees, payments for: Gradings, Competitions, Camps, Courses, Seminars and other NWAC events can be paid for in cash or bank transfer.  However, all subject to deadlines.  Failure to meet deadlines can result in the implementation of an additional late fee. 

16.9. Monthly Fees take priority over all other New Wave events. Should a student pay for an event that occurs within a month in which they have not paid their monthly fee. The payment for the even will be taken and put toward the students monthly fee. Assuming the event payment covers the cost of the monthly fee, the student will be allowed to attend regular sessions, but will not be allowed to attend the event, from which the fee has been taken.

17. GDPR

 17.1 Personal Data: Your personal details are being collected for Contractual, Insurance and for Club communication/ announcements and for Marketing purposes only. We are obliged to share your data with the Insurer for insurance purposes. This is for your protection. By ticking 'Agree' at the end of the Acknowledgment section of our online membership form, you consent to this necessary use of your personal data as delineated in the acknowledgment section of the membership form, without which, for legal reasons, we cannot provide you with a service.
